Abilities Based Learning and Education Support (ABLES) Assessment Tool – Ruby platform

School leaders and teachers are reminded that the ABLES assessment tool is available  to all schools who deliver the Western Australian Curriculum and may be accessed via the School Curriculum and Standards Authority website at
https://k10outline.scsa.wa.edu.au/home/resources/ablewa/getting-started-with-ablewa.

The ABLES assessment tool supports teachers to assess students on the basis of their abilities and provides explicit guidance material and resources that will assist teachers to effectively plan and teach students based on their individual learning needs. The assessments have been designed to describe skills and abilities that teachers can observe in everyday school and classroom contexts and interactions with students. The assessments cover seven learning domains.

Administrators are advised of the following recommended protocols when using the ABLES assessment tool:

  • Record the password for the generic school email user name for ongoing access by users, e.g. when a school leader leaves the school.
  • When creating a teacher listing, use their education email address as the user name.
  • When creating classes, use year groups rather than room numbers, e.g. Year 1, Year 2.
  • When adding a student, include their legal given name and surname and their Western Australian Student Number (WASN).

(Note: generally, the WASN will match the year group, e.g. in 2025 the WASN for Kindergarten is 44, Pre-primary is 43, Year 1 is 42.)

  • Do not add the calendar year to the naming protocol as this will result in a large number of classes over time, as well as the possible duplication of student names.

These protocols allow for easy transfer of teachers and students from one school to another. If you require assistance in transferring a teacher or student to your school, email ablewa@scsa.wa.edu.au with the relevant information.

As the functionality of the assessment tool does not currently allow for automatic rollover of student data to the next year group, a manual update is required either at the end or beginning of the school year. The recommended procedure is:

  • Mark the students in the highest year group as Graduated, e.g. the Year 6 students in primary schools.
  • When all students have been moved, Delete this empty class.
  • The Year 5 class is then edited to become Year 6, the Year 4 class to become Year 5 etc.
  • Add a new Kindergarten class at the conclusion when the current Kindergarten class has been edited to become Pre-primary.

Similarly for secondary schools, commence with the Year 12 students as Graduated and edit backwards to the Year 7 class.

School preparation for the Year 12 Physical Education Studies ATAR course school-based practical external assessment

The School Curriculum and Standards Authority (the Authority) seeks to ensure that schools plan and prepare their Year 12 Physical Education Studies (PES) ATAR course school-based practical external assessment (SPEA) as per syllabus and Authority requirements outlined in the Physical Education Studies School-based practical external assessment Handbook.

A school may conduct the SPEA:

  • at its own venue with their own students,
  • in a collaborative SPEA with more than one school at a designated venue, or
  • request assistance with an Authority administered SPEA.

A school conducting the SPEA for its own students at their own location must follow the guidance provided within the Physical Education Studies School-based practical external assessment Handbook.

A school may choose to combine with another school/s to form a collaborative SPEA. The collaborative SPEA is hosted by a single school.  In addition to each school being responsible for following the guidance provided by the Authority contained with the Handbook, the host school, on behalf of participating school/s, must submit an application to form a collaborative SPEA to the Authority.  A host school must seek approval on behalf of the participating school/s from the Authority by no later than the end of Term 1.

A school that is unable to conduct a SPEA must make an application for an Authority administered SPEA by the end of Term 1. The Authority may allocate a school to an approved collaborative SPEA if the same sport/s are played and the venue is within a reasonable travel distance.  In limited circumstances, the Authority will administer the SPEA on behalf of a school. The school will still be responsible for following the guidance provided by the Authority contained with the Handbook.

The School Curriculum and Standards Authority is seeking qualified people for the roles of writer or checker of the 2026 common oral assessment task (COAT) for the Year 12 ATAR English as an Additional Language or Dialect course and of the 2026 externally set tasks (ESTs).

Year 12 ATAR Physical Education Studies – School-based practical external assessment 2025 – expressions of interest

The School Curriculum and Standards Authority (the Authority) continues to seek expressions of interest from suitably qualified and experienced people to undertake the role of External Assessor for the Year 12 ATAR Physical Education Studies ATAR school-based practical external assessment (SPEA) to be conducted in Term 3, 2025. The Authority will accept late applications beyond the previously advertised deadline of Friday, 28 February 2025.

External Assessors must express their interest by completing an External Assessor: Expression of interest form, which requires teachers to gain approval from their principal. The form is available on the Authority website under the SPEA tab at https://senior-secondary.scsa.wa.edu.au/syllabus-and-support-materials/health-and-physical-education/physical-education-studies. Forms are to be returned via email to spea@scsa.wa.edu.au.

The role of External Assessor will provide an excellent opportunity for valuable professional development related to the Year 12 ATAR Physical Education Studies syllabus. Those interested should have experience working in schools with senior students in the Physical Education Studies ATAR practical component. An expression of interest does not guarantee appointment. Those successful in being appointed as an External Assessor will be notified in Week 6 of Term 1.

A draft External Assessor timetable will be provided in Week 5 of Term 2 for consultation and a finalised External Assessor timetable will be provided in Week 9 of Term 2.

Sport-specific training sessions for External Assessors will be undertaken in Weeks 6 to 10 of Term 2.

External assessment sessions at schools will occur in Term 3 between Weeks 2 and 8 during Term 3. External assessment sessions at schools may continue during Weeks 9 and 10 of Term 3 if required.

2025 Rules of conduct for Year 12 ATAR course examinations

It is strongly recommended that schools conduct school-based examinations using the generic Year 12 ATAR Course Examination Instructions to ensure students are familiar with the rules prior to sitting the external examinations conducted by the School Curriculum and Standards Authority (the Authority).

Information relating to breaches of examination rules and the maximum penalties that might apply in an examination can be located on the Authority website at https://senior-secondary.scsa.wa.edu.au/assessment/examinations/rules-of-conduct-for-atar-course-examinations.

The generic Year 12 ATAR Course Examination Instructions, read aloud by supervisors to candidates prior to the commencement of reading time for written examinations, can also be located on this webpage. It is strongly recommended that schools familiarise students with the breach rules and conduct school-based examinations using the generic instructions to ensure students are prepared for the external examinations conducted by the Authority.

Note that no candidate will be permitted to wear or take a mobile device and/or watch (analogue , digital or smart watch) or similar wireless-enabled technology device (for example, wearable technology, such as a personal fitness device or smart glasses) into the examination room in 2025. These items will be considered as unauthorised items. Ensure that all students are made aware of this rule.

The rules of conduct for the Year 12 ATAR course examinations managed by the Authority will be available in the Year 12 Information Handbook Part II: Examinations 2025, which will be published on the Authority website in July 2025. It is the responsibility of all candidates to ensure that they understand all instructions relating to the examinations. The examination centre supervisor (written examinations) and the Chief Marker (practical examinations) will report any alleged breach of examination rules to the Manager, Examinations Logistics at the Authority.


Alternative format practical (performance) examinations for 2025 ATAR course examination candidates with long-term injury or illness

Candidates with an injury or illness existing at the start of Term 3 must apply to be examined in an alternative format, if the injury or illness will affect their participation in the standard practical (performance) examination of any course. There will be no sickness/misadventure consideration in practical examinations in Dance and Music for candidates on the basis of an injury or illness existing at the start of Term 3.

The planning sheet can be used by students when completing calculations and mapping questions such as cross‑sections, and/or to plan extended answer questions in the examination. The planning sheet will not be collected as part of the examination booklet.

Online marking will be introduced for the following ATAR course examinations:

For examination scripts to be scanned for online marking, the format of the paper includes the following features:

  • a barcode at the bottom of the front page
  • a solid 5 mm square in each corner of the front page
  • a unique identifying number printed on every page within the paper.

The margins of each page will be excluded from the area available for writing and will be marked with the wording ‘DO NOT WRITE IN THIS AREA AS IT WILL BE CUT OFF’.

It is highly recommended that you advise your students not to use erasable pens, gel pens or pencils. The use of pencils is acceptable for diagrams.

The front covers of each examination will be available on the School Curriculum and Standards Authority website in August.


New process for upload of Year 12 English as an Additional Language or Dialect ATAR course Common Oral Assessment Task audiovisual files

There has been a change to the process for the upload of Year 12 English as an Additional Language or Dialect (EAL/D) ATAR course Common Oral Assessment Task (COAT) audiovisual files.

In previous years, the School Curriculum and Standards Authority (the Authority) has required the use of the file transfer protocol (FTP) software FileZilla to upload audiovisual files. In 2025, COAT Contacts will be required to upload these files directly to SIRS2, as explained on page 14 of the English as an Additional Language or Dialect Common Oral Assessment Task Handbook.

An accompanying handbook, English as an Additional Language or Dialect Common Oral Assessment Task Technical Guide, provides specific details on how to upload COAT audiovisual files.

Both the handbook and technical guide will be available on the Authority website at

SIRS

Introduction to Student Information Records System (SIRS)

The School Curriculum and Standards Authority will be conducting Introduction to Student Information Records Systems (SIRS) information/training sessions which are aimed at new and existing SIRS users in schools.

The sessions will cover the basic operations and functions of SIRS, including SIRS administration, managing SIRS user accounts and provider member information.

Focus topics include:

  • logging into SIRS
  • administering SIRS – including managing SIRS user accounts and provider member information
  • uploading of various files – including checking and verifying data transfers
  • understanding common errors
  • generating and finding commonly used reports
  • accessing assistance with local databases
  • requesting assistance from the Programs and Data team.

Ideally, two staff members should attend: the clerical staff member who will be responsible for maintaining the changes on the school database and the deputy or associate principal.

There will be four sessions conducted onsite and four online. These are repeated sessions; participants only need to attend once. It is recommended that those attending the onsite, who have a SIRS login account, bring their own device to log in to their school’s SIRS account during the session.

2025 Registration of students in SIRS for students in Years K, PP, 1, 2, 4, 6 and 8

Student registrations

Schools and other education providers are reminded that registration and demographic information for all outstanding Kindergarten–Year 8 students (via SRGDG file) is required by Thursday, 3 April 2025.

Details of how to register students are provided in the provided in the Data Procedures Manual 2025 with links to assist schools using various school databases.

Western Australian student numbers

All students are required to have a Western Australian student number (WASN) and be registered in SIRS.

If you require new numbers, send a request to numbers@scsa.wa.edu.au.  Remember to include the following information for each student:

  • family name
  • given name
  • date of birth
  • academic year the student is being registered in at the school.

Note: we do not issue numbers for pre-Kindergarten students.

Regular updates to registration and demographic information

Updates to student registration and demographic information should be uploaded into SIRS on a regular basis via the SRGDG for the remainder of the year.

At minimum, it is recommended that schools update and upload their student registration file (SRGDG) at the beginning of each term to record any student/s who may transfer from and/or to a school.

Schools are requested to include their school code in any correspondence.

Schools not currently registered for Brightpath, can register their interest by emailing Maureen Lorimer with the following information:

  • name of school, school address and telephone number
  • school code
  • name and email address of principal
  • name and email address of Brightpath contact.

If schools decide to discontinue this program, they should email Maureen Lorimer for the Authority’s records to be updated accordingly.

Uploading a teacher registration file

To have data imported to Brightpath, a successful upload of the student registration file (SRGDG) and a successful upload of the teacher registration file (THREG) are required.

The teacher registration file (THREG) must be uploaded to SIRS. Please note that the THREG file must be uploaded only after the student registration file (SRGDG) has been successfully processed without any warnings or errors.

Further details may be found in section 5 of the Data Procedures Manual 2025 with links to assist schools using various school databases.

The remaining dates for transferring data to Brightpath in Term 1 are:

  • Friday, 7 March 2025

Schools are reminded of the online form Request to change academic year Pre-Primary to Year 10, when requesting a change to a student’s academic year.

At times, schools may assess a student to be at a higher level than their current academic year and may request a change to a student’s academic year.

Before submitting an application, refer to the Pre-primary to Year 10: Teaching, Assessing and Reporting Policy and Policy Standards (https://k10outline.scsa.wa.edu.au/home/policy/policy-standards), which set out the mandatory requirements for teaching the Western Australian curriculum and for assessing and reporting on student achievement.

P–10 students transferring between schools in Western Australia

Schools are reminded that students in Western Australia transferring between schools partway through the calendar year must remain enrolled in their current academic year.

Upon registration, schools should search SIRS for the student’s details to confirm their academic year. This ensures students continue with their current year-level studies within the Western Australian Curriculum and Assessment Outline.

Recognition of student achievement in Year 11 ATAR course units for Year 10 students in 2027 (Year 8, 2025)

Schools can seek permission from the School Curriculum and Standards Authority (the Authority) for Year 10 students on accelerated programs (such as gifted and talented) to have achievements in ATAR Units 1 and 2 contribute towards the Western Australian Certificate of Education (WACE).

Schools are required to identify potential students in Year 8 (2025) and to submit the application form demonstrating how the Year 9 and Year 10 Western Australian curriculum will be compacted and reported on.

Schools should apply only if the studies are part of a longer-term program for students who are either gifted and talented or accelerated language students.

To apply for recognition and recording of student achievement in ATAR Units 1 and 2 for Year 10 students in 2027, schools  must complete the Application for recording of enrolment and achievement in ATAR Units 1 and 2 for students in Year 10 in 2027 (Year 8, 2025) form, available on the Authority website at https://scsa.wa.edu.au/forms/forms under Enrolments.

The School Curriculum and Standards Authority (the Authority) seeks to ensure that schools offering the Year 12 ATAR Physical Education Studies (PES) course in 2025 have entered and/or updated staff information to the position of ‘Year 12 Physical Education Studies ATAR contact’ in SIRS. Schools are directed to subsection 2.5.1 of the Authority’s 2025 Data Procedures Manual relating to the update of staff information. It is important that this is completed as soon as possible to ensure that all communications regarding the Year 12 ATAR PES school-based practical external assessment are directed to the appropriate person in the school.

While enrolments for Year 11 and Year 12 students studying course units (in ATAR, General, Foundation, Preliminary and VET industry specific courses) were due to be uploaded to the Student Information Records System (SIRS) by Thursday, 27 February 2025, changes to enrolments may be made at various times of the year.

Last dates for changes and withdrawals

Schools are reminded that Thursday, 3 April 2025 is the last date for changes to enrolments for:

  • ATAR, General, Foundation, Preliminary and Vocational Education and Training (VET) industry specific courses for Year 12 students
  • ATAR, General and Foundation courses (Units 3 and 4) for Year 11 students.

Note that after Thursday, 3 April:

  • SIRS will be locked, and no further changes (except withdrawals) will be accepted in the above courses.
  • Year 11 and Year 12 students can withdraw from ATAR courses (Units 3 and 4) with practical examination components or a school-based practical examination assessment (SPEA) until Thursday, 24 July 2025.
  • Year 11 and Year 12 students can withdraw from ATAR courses (Units 3 and 4) which do not have practical examination components or SPEA until Monday,
    11 August 2025.
  • Year 12 students can withdraw from General, Foundation, Preliminary and VET industry specific courses until Monday, 11 August 2025.

Schools should request that Year 12 students use the School Curriculum and Standards Authority (the Authority) WACE Checker (available on the Authority website at https://wacechecker.scsa.wa.edu.au before considering any course unit/s enrolment changes. This should prevent issues relating to students missing out on meeting Western Australian Certificate of Education (WACE) eligibility requirements at the end of Year 12.

If schools do not withdraw students from Year 12 ATAR courses before the above deadlines, those students are enrolled in the course and are required to sit the ATAR course examinations. Where the Year 12 ATAR course has both written and practical examinations, students are required to sit both examinations. Students who do not sit an ATAR course examination and do not have an approved sickness/misadventure application for that course will not have the grades for the pair of units completed in that year contribute to the calculation of the WACE. Further details relating to the consequences of not sitting examinations and the WACE requirements can be found in the WACE Manual 2025 at https://www.scsa.wa.edu.au/publications/wace-manual (see section 7.2.1 under Explanatory notes relating to WACE requirements 2025, number 5).

The final date for upload into SIRS for enrolments in year-long Year 11 courses for Year 11 students is Friday, 16 May 2025. After this date, SIRS will be locked and no further changes (except withdrawals from these courses) will be accepted. From this date, Year 11 students may only be enrolled into single units for Semester 2 up until Thursday, 14 August 2025. After this date, SIRS will be locked and no further changes (except withdrawals from these courses) will be accepted.

Non-school candidate enrolments

Enrolments as non-school candidates in ATAR course examinations must be received by the Authority by Thursday, 3 April 2025. No further applications will be accepted after this date. This form is available on the Authority website under the Enrolments heading at

Overseas full fee-paying student declaration forms

Year 10 and Year 11 Overseas full fee-paying student declaration form – 2025 and/or Year 12 Overseas full fee-paying student declaration form – 2025 with payment (for schools in Western Australia only) are due on Tuesday, 27 May 2025. It should be noted that payment of these fees is required before the Western Australian Statement of Student Achievement (WASSA) and WACE can be issued by the Authority.

2025 Non-school candidate enrolments

As stated in the WACE Manual 2025 (sub-section 6.2.5), an individual may enrol to sit an ATAR course examination as a non-school candidate in the event that the individual is:

  • seeking entry to university as a mature-age applicant (that is, at least 20 years old as of 1 March 2025), or
  • a student who has previously completed Year 12, or
  • a Year 12 student undertaking an Interstate Language course examination or a Chinese: First Language course examination or a background language course examination in French, German, Hindi, Indonesian, Italian, Korean, Punjabi or Tamil where the course is not offered by the school, and the student is enrolled to sit at least three other ATAR course examinations as a school candidate in that year.

To enrol as a non-school candidate in an Interstate Language examination or in a Chinese: First Language course examination, or a background language course examination in French, German, Hindi, Indonesian, Italian, Korean, Punjabi or Tamil where the course is not offered by the school, and the student is enrolled to sit at least three other ATAR course examinations in that year, an individual may not enrol in:

  • an external examination for an Interstate Language examination at the same time as being enrolled in that course with the State that hosts the language
  • more than one Interstate Language examination.

A student enrolled in an ATAR course examination as a non-school candidate will not be considered for a sickness/misadventure claim. That is, non-school candidates who suffer a sickness or misadventure prior to or during the ATAR course examination caused by them, a third party or the Authority are unable to receive consideration for their examination mark.

An individual enrolled in an ATAR course examination as a non-school candidate is unable to use the mark from that examination to contribute towards the achievement of an exhibition or award. As a non-school candidate, that examination does not contribute towards meeting the requirements for the Western Australian Certificate of Education (the WACE).

Enrolment as non-school candidate in the 2025 ATAR course examinations cannot be accepted after Thursday, 3 April 2025.

School leaders are advised that in 2025 they may register for Brightpath throughout the year by contacting Maureen Lorimer, Principal Consultant – Strategic Projects.

Regular data transfer dates allow all schools to regularly update their Brightpath student and teacher information through the registration process in SIRS throughout the year.

Data transfers to Brightpath will occur on the following dates in 2025:

  • Term 1 – Friday of Weeks 2, 5 and 8 – 14 February, 7 March and 28 March
  • Term 2 – Friday of Weeks 2, 5 and 8 – 9 May, 30 May and 20 June
  • Term 3 – Friday of Weeks 2, 5 and 8 – 1 August, 22 August and 12 September
  • Term 4 – Friday of Weeks 2, 5 and 8 – 24 October, 14 November and 5 December.

Please ensure that the relevant school officer and the Brightpath Coordinator are aware of this information and have data uploaded to SIRS the day prior to transfers.
